Privacy Policy

At NEoN, we take the privacy of our audience, volunteers and supporters very seriously. We are committed to protecting your personal information and being transparent about what information we hold about you. This Privacy Policy outlines how your personal information is collected, used and treated.

The information we collect

We collect personal information from you through your communications with NEoN. This includes: subscribing to our mailing list, customer evaluations and any other forms that you may complete, as well as any e-mails that you send us.

Information about your interactions with us

We use the personal information that you give us to answer your enquiries and provide you with the information you have requested. We also use this information to better understand our audience attendance and participants, so we know what activities and events our audience prefer to enable us to continue to develop.
When we send you an email via MailChimp we store a record of this and keep a note of which ones you have opened as well as which links you have clicked on.

Marketing communications

When requested (e.g. when you sign up to our mailing list), we will use your personal information to inform you about forthcoming NEoN events and activities.

We will only contact you via email if you have subscribed to our mailing list, either via the sign-up form on our website or by opting in when filling out a written form.  You can unsubscribe at any time by using the ‘unsubscribe’ link in our emails, or by contacting us directly at [email protected].

Third parties

There are occasional circumstances under which we may disclose your information to third parties. These are as follows:

To our service providers who process data on our behalf and on our instructions (for instance third-party ticketing sites such as Eventbrite and mailout services such as Mailchimp and Google Analytics). In these cases, we require that these third parties comply with data protection laws, particularly around the security of personal data.

When we are duty-bound to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies).

To assist with NHS Scotland’s efforts in tackling the Covid-19 crisis, we may share your name, phone number or other relevant contact information, together with the date and time of your visit, with NHS Scotland. Any information you provide for the express purpose of contact tracing will be deleted 21 days after your visit. 

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

This site uses Google Analytics for visitor tracking analysis, subsequently, cookies are set and stored in your browser. This visitor tracking analysis is used to see which pages and posts on the website people are viewing.

You can use Google’s Opt-out plugin to prevent being tracked on this and all other sites running Google Analytic’s: https://tools.google.com/dlpage/gaoptout.

Maintaining your personal information

We will store your personal information until such time as you advise us you no longer wish it to be held, for instance by unsubscribing from our mailing list.

Any objections you make to any processing of your data under the terms described above will be stored against your record on our system to ensure we can comply with your requests.
You also have the right to ask for a copy of the information held by us in our records and have the right to require us to correct any inaccuracies in your information.

Security

We have put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your personal information as secure as possible.

Use of photographs/videos

We often have a photographer/videographer taking images/videos of people at NEoN events. Some of the resulting images/videos are used on our website and in print to promote the activities of NEoN. We take every measure to ensure the subjects of the photographs/videos (or a parent/carer) grant permission for the images/videos to be used by us for promotional purposes, at the time the photograph/video is taken. Should you believe that an image/video should not be used for any valid reason please contact us and we will remove it.

Consent

NEoN will only retain your information if you actively opt into regular communications eg. our mailing list.
By opting in and disclosing your personal information to us, you will be consenting to the collection, storage and processing of your personal information by NEoN. We will only contact you by the preferred methods you select and in the manner set out in this Privacy Policy.
